Best rota software UK: which rota app fits the way you schedule?

Eight UK rota products, compared on the thing that actually separates them: whether you build the rota or the software does, and what it checks while that happens. Every fact below came from the vendor's own pages on 10 September 2026. Nothing here is scored out of ten.

Who wrote this

We build RotaBot, so it is included here with that conflict made explicit. This is not an independent review and we are not pretending it is. What we can do honestly is compare on public product information and say which scheduling problem each product is best suited to — which is why nothing below is ranked, and why there is a section on where RotaBot is not the answer. Check anything that matters to you against the vendor's own site before you buy; every claim here links to the page it came from.

The short answer

Best for — by the problem you are trying to solve.

Rota software is not one category. These products solve different problems well, so the useful question is not which is best but which is best for the week you actually run.

  • The week built for you, from rules that cannot be broken
    RotaBotthat is us

Generation is the product, not a feature on a grid, and availability, leave, training and shift limits are hard constraints rather than warnings.

  • UK compliance checked while the rota is built, across several sites
    Rotaready Evo

Its documentation states Working Time Regulations, minimum wage, rest break and contracted-hour checks running on every rota as shifts are added.

  • Scheduling driven by forecast demand at scale
    Rotageek

The autoscheduler is fed by demand forecasts in fifteen-minute increments, with legal, business-rule and fairness analysers over the result.

  • Scheduling and time & attendance together, at a price you can work out
    Deputy

Per-user pricing published in pounds, clocking and timesheets in the same product, and optional auto-scheduling from Core upwards.

  • Rules and alerts, with clean payroll export
    Planday

Eight named working-time rule types applied with real-time alerts, and timesheets built to export to payroll.

  • Rotas, leave and timesheets in one straightforward UK system
    RotaCloud

A well-documented manager-built rota with live costs and budgets, UK support, and a price on the website.

  • Starting free, or a small team where per-head pricing stings
    Findmyshift

A free-forever plan for five people, and paid plans priced per team rather than per person.

  • HR first, rotas as part of it
    BrightHR

The widest surrounding suite here — holiday, absence, performance, documents, expenses, recruitment and payroll — with rotas included.

Side by side

The four questions worth asking first.

Automatic generation, what gets checked, what your staff hold in their hand, and how you are charged. Everything else is detail — the product sections below carry it.

"Not stated" is a statement about the documentation, not the product. It means that vendor's own pages — product pages, help centre and app listings — did not describe it when we read them on 10 September 2026. Prices are as published then, exclude tax unless the vendor said otherwise, and change; confirm on the vendor's pricing page.

How we compared them

The method, so you can discount it appropriately.

Official sources only

Product and feature pages, the UK pricing page, the official help centre, and the App Store and Play listings. No review sites, no listicles, no forums — those report each other, and a score copied from a directory is not evidence.

Every claim checked twice

One pass gathered each fact with the URL it came from; a second, independent pass re-opened every URL and removed anything the page did not actually say. Of 238 facts gathered, 13 were dropped and 65 re-worded to match the source.

No scores, no ranking

We are in this comparison, so a ranking from us would be worthless. There are no ratings, no stars and no marks out of ten anywhere on this page — ours or anybody's.

Product by product

What each one is, and who it suits.

In the order of the list above. Each includes where it is the less obvious choice, because that is usually the more useful half.

RotaBot

rotabotapp.comour product

Rota software whose starting point is a generated week rather than an empty grid.

Best for

A manager who wants the week built from hard rules — training, availability, leave, shift limits — against the coverage and contracted hours they set, and would rather review a draft than place every shift.

You describe what each hour of each day needs, who is trained for what, what each contract commits to and which rules a shift must obey. RotaBot builds the whole week against all of it and lists what it could not cover — the day, the role, the times, how many short — with the reason the solve established. You review, adjust, pin anything that must not move, and publish; nothing reaches staff before you do. It also keeps the difference between what it generated and what you published: a fix you make across three published weeks is put to you to confirm, and once confirmed it informs later solves as a preference — never enough to break a rule.

Less obviously the pick if

You need every member of staff to manage their own availability and leave from a phone — our Android app takes holiday requests and casual staff's availability, but a contracted person's availability stays with the manager, and there is no iPhone version on the App Store. Or you need a published price you can compare without talking to us, POS, payroll or HR integrations, sales forecasting, or a long list of customer names. We have none of those, and we are the newest product here by a distance.

How the rota is built
Generated first: the solver proposes a whole week, you review and edit it
Time & attendance
Timesheets showing the clock record against the published rota, approve and export
HR around it
None beyond the rota, leave and timesheets. No payroll, no documents, no onboarding
Sectors it names
Hospitality, pubs and bars, retail, leisure

Rotaready Evo

rotaready.com (The Access Group)

Hospitality-focused rota and workforce software, part of The Access Group.

Best for

Multi-site hospitality that wants UK compliance checked as the rota is built, with automatic generation from its own shift rules.

Its own documentation names three routes to a rota — AI labour forecasting, auto scheduling and manual planning — and describes auto-generated rotas produced from the customer's shift rules, staffing requirements and templates, then adjusted by hand. Compliance is the stand-out: checks for Working Time Regulations, minimum wage, rest breaks and contracted hours are stated to run on every rota while shifts are being built.

Less obviously the pick if

You are a single small site: pricing starts at a monthly figure that includes fifteen employees.

How the rota is built
Three stated routes: AI labour forecasting, auto scheduling, or manual drag-and-drop with live validation
Time & attendance
Clock in/out by mobile, tablet or kiosk with photo and/or PIN and GPS radius; missing clock-ins flagged to the manager
HR around it
Single employee record: contracts, certifications, right-to-work, onboarding, e-signature, document storage
Sectors it names
Catering and events, restaurants, hotels, cafés, bars and pubs; multi-site hospitality

Rotageek

rotageek.com

Demand-driven scheduling for retail, hospitality and healthcare.

Best for

Larger operations that want the rota driven by forecast demand, with legal, business-rule and fairness checks analysed automatically.

Its autoscheduler is run from a button and is fed by staffing levels in fifteen-minute increments per day, location and task, driven by forecast demand or manager-set targets, plus skills, availability, preferences, fairness, pre-defined rules, budgets and contract obligations. Three named analysers — legal compliance, business rule and fairness — flag violations with who and when, and must be re-run after each change.

Less obviously the pick if

You want to see a price before you speak to anybody: there is no public pricing page.

How the rota is built
Manager-built scheduler with drag, drop, duplicate and shift patterns — plus the Autoscheduler
Time & attendance
App, web on in-store devices and third-party timeclocks; geo-fencing, photo capture; fobs, thumbprints, ID cards and facial recognition as hardware options
HR around it
Through an integration with ELMO UK Solutions; payroll is data preparation and export, with paycodes allocated by policy
Sectors it names
Retail, hospitality, entertainment and leisure, healthcare including NHS, and other services

Deputy

deputy.com/gb

Scheduling, time and attendance and timesheets, sold per user with a published price.

Best for

A team that wants scheduling and time-and-attendance in one place, with per-user pricing it can work out before talking to anybody.

The schedule is built by the manager, with optional auto-scheduling on its Core plan and above: agreed regular working hours can be auto-scheduled from employee profiles, and shift structures auto-built and empty shifts auto-filled, fed by demand signals through an integration, spreadsheet import or manual entry. Seven recommendation checks run when assigning — overlapping shifts are blocked outright, and the rest, including training, unavailability and approved leave, are overridable.

Less obviously the pick if

You want UK-specific Working Time compliance stated as a built-in check rather than configurable warnings.

How the rota is built
Manager-built Schedule tab — drag team members on, copy schedule, save and load templates — plus optional auto-scheduling
Time & attendance
Clock in/out from a phone with GPS stamp, or a tablet kiosk; timesheets created automatically, missed breaks flagged
HR around it
HR as a £2 per user per month add-on — hiring, onboarding, documents with certification expiry; Deputy Payroll marketed as an add-on
Sectors it names
Hospitality, retail, healthcare, education, construction, security, supermarkets and more

Planday

planday.com

Scheduling with working-time rules and payroll export, owned by Xero.

Best for

Operations that want working-time rules and contract hours applied automatically with real-time alerts, and clean payroll export.

Schedules are built by the manager across several views, with drafts visible only to admins until published. Auto-schedule is a Pro-plan feature that assigns open shifts a manager has already created, using groups and skills, conflicting shifts, employee requests, availability and approved absence. Eight named rule types cover shift duration, working days, consecutive days, hours in a period, hours off between shifts and more.

Less obviously the pick if

You expected auto-scheduling to create the shifts as well: it assigns shifts the manager has already made.

How the rota is built
Manager-built schedule by employee, group or position across day, week, fortnight, month; templates and copy-week; drafts hidden until published
Time & attendance
App clock-in with geolocation limiting it to approved places; kiosks; timesheets compare scheduled with actual and export to payroll
HR around it
Staff records, documents, contracts signed digitally, payslip import, onboarding, skills tracking; payroll by export and integration
Sectors it names
Hospitality, care homes, hotels, entertainment, retail, fitness and wellness

RotaCloud

rotacloud.com

UK rota software bringing rotas, annual leave and timesheets into one system.

Best for

A UK business that wants rotas, leave and timesheets in one straightforward system, with UK-based support and a price on the website.

The rota is built by the manager on a grid — drag and drop, copy weeks and months, duplicate blocks, templates across a date range — with staffing costs calculated live and budget caps per rota, department or location. Open shifts fill gaps: staff who can work that role are notified and can claim, and RotaCloud automatically blocks claims that clash with an existing shift, with further blocks available as admin settings.

Less obviously the pick if

You want the rota generated for you: its pages describe building it yourself, and its AI feature forecasts demand rather than creating shifts.

How the rota is built
Manager-built grid: click, drag and drop; copy weeks and months, duplicate shift blocks, templates across a date range; live cost calculation
Time & attendance
Mobile clocking plus a tablet terminal with PINs and optional photo; geofence, GPS, workplace-WiFi requirement; timesheets auto-populated with scheduled-versus-worked discrepancies
HR around it
HR module — profiles, leave and absence, documents, signing, logbook, reports; payroll by report rather than payroll running
Sectors it names
Care homes, healthcare, retail, tech, restaurants, cafés and bars, leisure, hotels, dental, vets, security

Findmyshift

findmyshift.co.uk

Spreadsheet-style rota software priced per team rather than per person.

Best for

Small teams and anyone who wants to start free: a free-forever plan, and paid plans priced per team rather than per head.

The rota is edited like a spreadsheet — click a cell and type, with keyboard shortcuts, copy and paste and reusable templates across up to 140 days. Its pricing is the unusual one here: a flat monthly price per team, so cost does not climb with every person added. Time off is requested by staff and approved by managers, and adding or approving it flags existing shifts in that period.

Less obviously the pick if

You need the rota generated, or working-time and qualification checks: neither automatic generation nor those checks is stated in its documentation.

How the rota is built
Spreadsheet-style cells with keyboard shortcuts, copy and paste, drag and drop, reusable templates across up to 140 days
Time & attendance
Four routes — app, mobile site, website and a time clock station; PIN or password, optional photo, location reporting. Timesheets stay unapproved until a manager reviews them
HR around it
Pay rates and rules, labour cost forecasting and 40+ charts; no payroll provider named
Sectors it names
Bars and restaurants, retail, medical and care, schools, gyms, hotels and events, security, call centres, transport

BrightHR

brighthr.com

An HR platform with rotas as one module among many.

Best for

A business buying HR first and rotas second — holiday, absence, documents, performance and payroll in one place, with shifts included.

Rotas are built in three views — a spreadsheet-style table, a timeline and drag-and-drop — from scratch or by copying an existing rota, over four to fourteen days or a full month. The breadth around it is the widest in this set: holiday planning, sickness and lateness, performance, expenses, recruitment, document storage and payroll software. Clocking is a separate named app, Blip.

Less obviously the pick if

The rota itself is your main problem: automatic generation and rota-builder compliance checks are not stated on its pages, and contracts run 24, 36 or 60 months.

How the rota is built
Three views — table, timeline and drag-and-drop; new rota from scratch or copied, 4–14 days or a full month
Time & attendance
Clocking through a separate app, Blip — geofence, QR clock-in, break tracking; timesheets compare working patterns and rotas against actual hours
HR around it
The broadest here: holiday, sickness and lateness, performance, timesheets, documents, overtime, expenses, recruitment, recognition, payroll software
Sectors it names
Construction, healthcare, hospitality, retail, logistics, beauty, charities, manufacturing, legal
What actually varies

Four differences that decide the answer.

Feature lists converge. These are the axes where the products in this list genuinely differ, and where your own week decides which way to go.

Who builds the first draft

The largest difference in this list. Most products give the manager a better place to build the rota; four of the eight document a feature that generates or fills one. It changes what your week is spent on.

Whether a rule is a wall or a warning

Some products block an assignment that breaks a rule; others flag it and let you continue. Neither is wrong — but it decides whether a rota can be trusted without being re-read.

How much sits around the rota

Clocking, timesheets, documents, onboarding, performance, payroll. One of these is an HR platform with rotas in it; one is a rota with almost nothing around it. Both are deliberate.

How you are charged

Per user per month, per team per month, by employee band, or by demonstration. At twenty people those models produce very different bills, and two vendors here publish no price at all.

Building versus generating

Of the eight here, 4 document an automatic scheduling feature besides ours, and they mean different things by it: one assigns shifts a manager has already created, one auto-fills empty shifts from demand signals, one drives the whole schedule from a demand forecast, one generates from the customer's own shift rules. Worth reading closely before assuming it does what you want. The three levels, explained.

When a spreadsheet is still enough

For a small team with a stable pattern and one manager who holds the picture, a grid is a perfectly good rota — and no software on this page will pay for itself. We give away a free staff rota template that adds the hours up, with no sign-up, precisely because that is often the right answer.

Where RotaBot is not the answer

Reasons to choose one of the others.

We would rather you found this out here than three weeks into a trial. These are real gaps, not modesty.

You want staff to self-serve

Ours goes part of the way. Our Android app, on Google Play in the UK, lets staff request holiday and clock in and out, and lets casual staff mark the days they can work; a contracted person's availability stays with the manager. There is no iPhone version on the App Store, so on an iPhone the week is a read-only page in a browser. Every other product here documents staff-submitted availability or leave, and most publish native iOS and Android apps.

You want a price without a conversation

We have no public pricing page: RotaBot is sold through a demonstration. Deputy, RotaCloud, Findmyshift, Planday and Rotaready all publish figures you can compare tonight.

You are buying HR, not a rota

We do the rota, leave, timesheets and the staff app, and nothing else. No documents, onboarding, performance or payroll. BrightHR and Rotaready are built for that job.

You need the till to drive the rota

RotaBot does not read your sales or forecast your footfall — you tell it what each hour needs. Rotageek, Rotaready and RotaCloud all document demand or revenue forecasting.

You need integrations

No POS, payroll, accounting or HR integrations exist. If your rota has to feed a payroll provider automatically, look at the products that document that route.

You want a long customer list

We are the newest product here by a wide margin, and we do not publish customer names or case studies because we are not going to invent them. If proven scale is your first filter, that is a fair reason to look elsewhere.

And if generation is what you were looking for

A manager who wants the week built from hard rules — training, availability, leave, shift limits — against the coverage and contracted hours they set, and would rather review a draft than place every shift. If that is your week, we will show you it generated — gaps, reasons and all — against your own requirements and staff.
